This policy explains what we collect when you get in touch, why we need it, how long we keep it, and what rights you have over it.

Who we are

Activolt Ltd is the data controller for the personal information described in this policy. We are registered in England & Wales, company number 17392738, with a registered office at 4 Imperial Square, Cheltenham, Gloucestershire, GL50 1QB.

What we collect

When you use the enquiry form on this site, we collect the name, phone number and email address you provide, along with the details of your enquiry.

If you contact us by phone or email instead, we hold whatever information you choose to give us in the course of that conversation.

We do not take payment details through this website, and we do not ask for special category information such as health or financial data.

Why we use it, and our legal basis

We use your details to respond to your enquiry, arrange a survey or quote, and carry out any work you go on to instruct. The legal basis for this is that it is necessary to take steps at your request before entering into a contract, and afterwards to perform that contract.

Where we hold records relating to completed work, we do so on the basis of our legitimate interests in keeping accurate records of installations and being able to answer questions about work we have carried out, and in some cases to meet legal or regulatory obligations.

We will not add you to a marketing list or send you promotional messages unless you have asked us to.

Who else sees your information

We use a small number of third-party services to run the business. These act as processors on our behalf and are not permitted to use your information for their own purposes:

  • Formspree — handles submissions from the enquiry form on this site and passes them to our inbox.
  • Google Workspace — provides our business email, so correspondence with us is stored there.
  • Our website host — serves the pages of this site and keeps standard server logs.

Some of these providers are based outside the UK, which means your information may be transferred internationally. Where that happens, the transfer is covered by the safeguards those providers have in place, such as standard contractual clauses.

We do not sell your information, and we do not share it with anyone else except where we are required to by law.

How long we keep it

If your enquiry does not lead to work, we keep the correspondence for up to two years and then delete it.

Where we have carried out work for you, we keep records relating to that installation for longer, as we may need to refer back to them for warranty, safety or regulatory reasons.

Cookies and analytics

This website does not set any cookies, and no part of it makes requests to third-party servers as you browse — including for the typefaces used, which are hosted on our own server rather than loaded from Google Fonts or any other external provider.

We do not currently use website analytics. If we introduce it in future we will update this policy, and where consent is required we will ask for it before anything is set.

Your rights

Under UK data protection law you have the right to ask us for a copy of the personal information we hold about you, to have inaccurate information corrected, to ask us to delete it, to object to or restrict how we use it, and in some circumstances to receive it in a portable format.

To exercise any of these, email info@activolt.co.uk. We will respond within one month.

Complaints

If you are unhappy with how we have handled your information, please raise it with us first so we have the chance to put it right. You also have the right to complain to the Information Commissioner's Office, the UK's data protection regulator, at ico.org.uk or on 0303 123 1113.

Changes to this policy

We may update this policy from time to time. Any changes will appear on this page, with the date at the top revised accordingly.
